What do I have to consider when accepting members? | Dealing with applications | Managing members | Excluding troublemakers | Can I delete inactive members from the group? | How do I deal with members who no longer meet the group's admission criteria?
The use of the groups in JOYclub is generally open to all members. You should therefore view all members neutrally and always act independently of personal interests, likes or dislikes. Only the suitability of the content and the appearance of a member should be decisive for you.
What should be considered when accepting members?
Groups are supposed to connect people on topics. Thematically, it makes sense for some groups to link membership to selected criteria and thus to narrow down who is suitable in terms of content and will be accepted.
The requirements must be applied consistently and presented transparently on the "Become a member" page. So that everyone interested knows what is expected of them for and in the group. It is important that the privacy of the members is always respected. You can reject applications that are empty of content.
Note: Privacy means that members are not identifiable and the selected criteria have a factual relation to the topic.
Applications
As a group leader, you can decide whether new members should be accepted directly into your group or whether your team should activate them manually. You can make the corresponding setting in the "Administration" under "Group" at the point "Application". There you can also restrict the group membership to verified members.
Under the item "Applications" in the "Administration" all new, rejected, confirmed and in-progress applications of your members are displayed. Approved and rejected applications are stored for six weeks.
Who decides on the admission of new members?
The decision to accept new members lies with you as the group leader and is based on the acceptance criteria you have defined. If you are unsure about applications, you can discuss this with your co-moderators in the mod area. However, it is not allowed to vote on new members.
How do I edit an application?
Under the point "Applications" in the "Administration" you will see the current applications and you can edit them. If you want to add a note to an applicant, your co-moderators will be able to see it.
Note: By checking the appropriate box in the "Action" section, you can confirm, reject or edit the application.
Can I create templates for confirming or rejecting an application?
To avoid having to create a new message every time you confirm or reject a member's application, you can create templates that are automatically used and can be modified as needed. You can create such templates in the "Administration" under "Group" at the point "ClubMail and Pinboard Templates" and edit them later.
Note: In order to insert the name of the contacted member automatically, please use
[name]
after the salutation.
Membership management
How do I edit a membership?
You can edit the membership of any member in the "Administration" under the item "Members". There you can see all members of your group, even the hidden ones. To edit a membership, please click on the small white pencil.
Change the "Status" of a member to make a group member a co-moderator or to deactivate the moderator role.
Can I exclude troublemakers from the group?
You may exclude a member from your group for repeated, clear violations of the official Community Guide. Likewise, use your discretion if a member repeatedly and persistently disrupts the group, narrowly scraping the rules of the game.
You can edit the membership of each member in the "Administration" under the item "Members". There you can see all members of your group, even the hidden ones. To edit a membership, please click on the small white pencil.
Use the button "Delete membership" to remove a member from your group.
The exclusion of a group member should always be the last possible step for you, but is legitimate for persistent troublemakers or inactive members.
Follow these steps:
* Inform your group member about his misstep and warn him with reference to the rules of the game.
* If the member still disturbs the group peace, send a second warning with reference to the possible group exclusion.
* If necessary, move the posts/threads in question to the trash can.
* Document all details in the mod section.
* If the member is unteachable, group exclusion may occur.
Note: A complete documentation of the group exclusion is also helpful for the JOY team, should there be complaints afterwards.
Can I delete inactive members from the group?
If members have not logged into your group for at least six weeks, you may remove them for inactivity. However, members who only read (want to read) in your group are not included.
Note: You can find out when members last logged into your group in "Administration" under "Members". For a chronological sorting please click "last visit". This also includes the group visits of members who are logged in hidden.
How do I deal with members who no longer meet the group's admission criteria?
It can happen that members no longer meet the admission criteria for your group after a while due to profile changes. Write to the members and inform them in a friendly manner that you are removing them from the group.
Note: If they lack the authenticity check, point out our free option.
